1. Publish Guidelines for the translation of standards

Purpose: To enhance international awareness and use of the standards prepared by the Committee, by promoting their translations in languages other than English and French.

Plan of work: Chairman and Project Secretary will review and revise where appropriate the Guidelines drafted by Hugo Stibbe. Thereafter, they will be circulated be e-mail for review and comments Committee members. After approval by ICA-CDS the will be forwarded to the ICA-CPM for approval. With ICA-CPM approval the Guidelines will be put on the ICA website and made available in paper form from the ICA Secretariat.

Time schedule: Completion of ICA-CDS review and approval by February 2001.

Project status: completed and approved by ICA-CDS.

Results: submitted in French and English and now available on the ICA-CDS web-site.

2. Revise ISAAR(CPF)

Purpose: To produce a second edition of ISAAR (CPF) in keeping with a five year review cycle for ICA-CDS standards.

Plan of work: Revision process must be more open than was the case with the ISAD(G) revision process; library associations (e.g. IFLA) as well as other interested professional bodies will be invited to send comments and propose amendments.

Time schedule: Letter asking for comments and suggested amendments sent out before the end of 2000; deadline for response by the end of July 2001; the Committee starts the discussion in the first meeting planned for Brussels in October 2001. At this meeting the schedule for review was revised to allow more time for both the committee and the archival community to allow more time for comments. The following schedule was agreed to:

Prepare a draft revision: 28 February

Review of draft revision by ICA-CDS in Madrid, June 2002

Complete revision of draft in Brazil November 2002

Mount an exposure draft on ICA-CDS web site with some examples January 2003

First approved revision open to public for comment for 6 months: January-July 2003

Finalized version of the standard approved at Australia meeting: (October 2003)

Publication and presentation at Vienna congress: 2004.

3. Review and revision of up-date Mandate Statement and Terms of Reference (version 1993-01-21)

Purpose: To establish a general framework for the tasks of the Committee

Plan of work: circulation by e-mail for review and comments by Committee members

Time schedule: the up-dated Mandate Statement will be discussed and approved in the first Committee plenary meeting in Brussels, October 2001.

Project status: completed and approved October 2001.

Results: submitted to ICA and for publication on ICA-CDS website

4. Publish Guidelines for the Preparation of Finding Aids

Purpose: to finalize and publish the Report of the Sub-committee on Finding Aids produced by the previous Committee to ensure that the preparation of finding aids are compliant with ISAD (G) and ISAAR (CPF), both in paper and electronic form. The Sub-committee drafted the guidelines, but did not provide examples.

Plan of work: The drafted guidelines will be circulated to all Committee members for their comments requesting their agreement to publish the guidelines on the ICA website as a preliminary work, without the examples.

Time schedule: Deadline of 1 January 2001 for receipt of comments.

Project status: completed, approved and translated.

Results: submitted to ICA and for publication on website.

5. Study the relationship of ISAD (G) and ISAAR (CPF) with Encoded Archival Description and Encoded Archival Context

Purpose: To prepare an analysis of the relationship of Encoded Archival Description and Encoded Archival Context as communication exchange formats with international descriptive standards ISAD(G) and ISAAR (CPF).

Plan of work: Michael Fox to prepare a report for review by the Committee

Time schedule: November 2002 Brazil meeting for starting the discussion; a report will be finalized by the end of 2003.

Results: Final report to be published on ICA-CDS web site and submitted to Comma for publication in print form.

6. Propose policy and procedures for maintaining standards for ICA Executive approval

Purpose: to recommend procedures for the ongoing maintenance of archival descriptive standards.

Plan of work: The Committee will draft a report to be submitted to ICA Executive.

Time schedule: the Committee will start the discussion of this topic at its third plenary meeting in November 2002; a draft report will be considered at the 2003 plenary meeting.

Results: Approved document with proposed policy and procedures to be submitted to ICA Headquarters during early 2004.

7. Draft recommendations for ICA Executive Committee regarding education and training in the use of ISAD (G) and ISAAR (CPF)

Purpose: To promote the comprehension of the importance and utility of descriptive standards in the professional culture and practices of national archival communities internationally, particularly in developing countries. One product suggest by the Committee would be to prepare a manual of best practices.

Plan of work: Recommendations will be drafted and submitted to ICA Executive Committee.

Time schedule: the Committee will start the discussion on the topic in the third plenary meeting in 2003; the draft report will be completed in 2004.

8. Liaise with ICA Headquarters, ICA/CIT and UNESCO about the Open Source Archival Information System (OSARIS) Project

Purpose: to advise and assist ICA and UNESCO in relation to issues and options concerning the possible development and release of OSARIS software for the use of the international archival community.

Plan of work: The Committee will draft reports and recommendations to be submitted to ICA Executive at suitable intervals.

Time schedule: the Committee will start the discussion of this topic at its meeting in October 2001; a report with recommendations and model functional specifications to be submitted to Paris in December 2001; participate in a meeting of stakeholders in Paris in October 2002 to consider options for phase 2 of the project; advise and assist the project team and ICA Headquarters, November 2002-June 2003.

Results: A viable project that meets the needs of the international archival community and which benefits from the expert input of CDS members.
